Overview

A Fleet Coordinator is responsible for managing and coordinating the operations of a company's fleet of vehicles. They play a crucial role in ensuring the efficient utilization, maintenance, and safety compliance of vehicles, as well as managing driver schedules and logistics.


Duties

Fleet Management:

  • Oversee the day-to-day operations of the company's fleet, including vehicles such as cars, trucks, vans, or specialized equipment.
  • Maintain accurate records of vehicle inventory, registration, insurance, maintenance schedules, and service history.

Vehicle Maintenance:

  • Schedule and coordinate routine maintenance, inspections, and repairs for fleet vehicles to ensure they remain in safe and optimal operating condition.
  • Monitor vehicle mileage, fuel consumption, and performance indicators to identify maintenance needs and address issues promptly.

Driver Coordination:

  • Assign vehicles to drivers based on availability, job requirements, and driver qualifications, ensuring efficient use of company resources.
  • Communicate with drivers regarding scheduling, routes, assignments, and any changes or updates to their responsibilities.

Compliance and Safety:

  • Ensure compliance with regulatory requirements, safety standards, and company policies for vehicle operation, maintenance, and driver behavior.
  • Conduct regular inspections of vehicles and driver logs to verify compliance with legal and safety regulations, addressing any issues or violations as necessary.

Logistics and Efficiency:

  • Optimize fleet utilization and routing to minimize downtime, reduce fuel consumption, and maximize efficiency in vehicle operations.
  • Coordinate with other departments, such as logistics, operations, or customer service, to support timely delivery or transportation needs.

Qualifications

  • Previous experience in fleet management, logistics, transportation, or a related field is preferred.
  • Knowledge of vehicle maintenance practices, automotive systems, and regulatory requirements for fleet operations.
  • Strong organizational and multitasking skills to manage multiple vehicles, schedules, and priorities effectively.
  • Excellent communication and interpersonal skills to interact with drivers, maintenance personnel, vendors, and other stakeholders.
  • Analytical abilities to evaluate data, identify trends, and make informed decisions to improve fleet performance and efficiency.
  • Proficiency in using fleet management software, GPS tracking systems, and other technology tools for scheduling, routing, and monitoring.
  • Attention to detail and problem-solving skills to address maintenance issues, compliance concerns, and operational challenges proactively.
